Rules, Terms, and Conditions 

For any policies not covered below, Philly InMovement has the right to use discretion. Policies are subject to change.

Health and Safety

PLEASE READ ALL COVID-19 PRECAUTIONS

  • Pre- Screening & Temp Check

Anyone who enters our facility, staff and students, are screened with questions and a contactless temperature check before allowed inside.

  • Social Distancing

Our facility, curriculum and flow have been arranged to allow for social distancing. Teachers will refrain from direct contact with students unless absolutely necessary.

  • Mask Policy

Our staff members are required to wear a mask at all times. Students are also required to wear masks while inside our facility. The exception is when eating or drinking, while maintaining more than 6-foot distance from others. It will be explained to children by their teachers that they may have a mask break if needed, but must ask so they can be distanced from the rest of the group. Gentle reminders will be given as necessary.

  • Illness

If your student has a fever or is visibly sick, please help the other students and teachers stay healthy by keeping your student home. We reserve the right to send a student home who exhibits a fever or other symptoms of illness.

NOTE: We are not allowing parents inside the facility to limit the number of people inside.

The Basics

  • What to Wear & Bring

All students must be barefoot during class. No footed tights.

Boys or girls may wear tucked in T-shirts or fitted tank tops and athletic pants or shorts. Leotards are also acceptable. Hair should be pulled neatly and securely away from the face so that it stays up for the entire workout. 

Refrain from wearing bows or other large hair ornaments that may cause discomfort during activity. 

For in-person classes, personal items should be left in cubby holes. Jewelry should not be worn during classes and should be left at home for in-person classes. Philly InMovement’s staff will not be responsible for ANY items that may be lost or stolen from our facilities. Be sure your student’s personal items are marked with their name.

Please send a clearly labeled water bottle with your child, during classes children may need to stop and drink water.  We have water fountains available on both floors of the gym. For a virtual class, be sure to have water handy for your child.

Students will wear a mask at all times. You will be asked to send your child with 2 masks. Students will not be allowed to participate in their class or enter the building without a mask.

  • Strollers

No strollers are allowed inside the building at this time as they bring in dirt and germs from the streets and sidewalks. You can ask the front desk for the lock code to lock up outside if needed.

In-Person Classes/Sessions

  • Drop Off

Be sure your student arrives 5 minutes before (no earlier please) their scheduled class time. Check in at the entrance and be prepared for your student to be health screened. Parents are not allowed inside the building at this time unless it is a parent/child class.  Students will place all belongings in a cubby and wait in the lobby for the teacher to call them into class. There is a bathroom located on the first and second floor if students need to change.

  • Class Start Time

Please be punctual for classes. For classes lasting between 45 minutes and 1 hour, students will not be admitted if they are more than 10 minutes late. For classes lasting between 1.5 hour and 2 hours, students will not be admitted if they are more than 20 minutes late.

  • Pick Up

Please pick up your student on time for any drop-off activity. If you are running late please call or email us to let us know. If necessary, leave a voicemail. After 10 minutes past pick-up time, Philly InMovement will charge $10 plus $1 every minute thereafter.

  • Parent-Child Classes

Please ACTIVELY stay with your student in the gym area and help enforce Philly InMovement gym rules. Please encourage your student to explore tricks and activities in the gym. We ask that you leave all cell phones in the lobby during class to help us keep your student safe. The best time to take pictures is during free play, before circle time.  Siblings under 12 months may accompany a parent as long as they remain in their swaddle, sling, stroller, or carrier. Older siblings may sit in the waiting area during class if they are able to play quietly. Non-registered siblings are not permitted to join class.

  • Safety Measures

Instruct your student to wait inside the building. An adult must escort them from the building, unless we have written permission prior to the end of a class allowing a student to leave the building themselves. If your student is being picked up or going home with someone other than yourself, we ask that you send an email or let us know when you drop off. Please ensure that any person picking up your student carries photo identification; we reserve the right to confirm the identity of a person unknown to us when they pick up your student.

Virtual Classes/Sessions

  • Start of Virtual Classes

Be sure to login at least 5 minutes before your child’s scheduled class. We will send you a link to any online class at least an hour before each scheduled class.

  • Ending Virtual Classes

At the end of a class, our staff will say goodbye and log off. Your child will automatically be logged out of the session.

  • Safety Measures

Please check the location where your child will participate in the class. If possible, lay down a mat (like a yoga mat or foam play mat). Remove any objects that might distract or injure the child during the session. Keep in mind that Philly InMovement’s instructors cannot supervise your child during an online session and cannot see the entire space where the child is participating in the class, so be sure to supervise the child during any virtual class.

MOVE at School Camp

  • Drop Off

Be sure your camper arrives during your specified drop-off time. Campers will be checked-in outside by a staff member who will verify their registration on their attendance sheet. Upon completing their attendance the camper will then be asked to take a forehead thermometer test to ensure the child does not exhibit any symptoms of fever. The staff member will ask the parent a few questions including if you have been near anyone who has symptoms or has recently been diagnosed with COVID-19, whether you or anyone in your household traveled to an area that is currently considered a “hot spot” and if the child has any of the following symptoms: Cough, Shortness of breath or difficulty breathing, Fever, Chills, Muscle pain, Sore throat, and/or New loss of taste or smell.

  • Pick Up

Campers are only released at the specific pick up time to parents or guardians authorized for pick up on the camp health form. If your child is being picked up or going home with someone other than yourself and they are not on our authorized pick up list, we ask that you send an email or let us know when you drop off. Students MUST remain inside the lobby until a parent/guardian comes to pick them up 

  • Late Pick Up

Call or email to let us know you are running behind. If necessary, leave a voicemail. At 10 minutes, Philly InMovement will charge $10 plus $1 every minute thereafter.

  • Reminder to Camp Parents 

We will do our best to assist with your child’s virtual schooling. Please remember that all kiddos will be wearing headphones and need to be able to accomplish independent work. As a day camp to virtual school students we are here to provide support to their lessons as long as the child has all the necessary supplies needed for the day; example printed worksheets, list of due assignments, and any additional required materials assigned from their teacher.

We are not able to provide one-on-one assistance, our camp is a group setting where staff need to be able to help all students in their pod. We do our best to confirm that the students are in the correct place and participating in their virtual lesson and completing daily assignments. 

Please refer to the camp welcome email with detailed instructions on what to bring to camp. 

Billing & Refund Policies

  • Payments

We accept payments via electronic means, including credit card and bank account draft (ACH). Any payments are due in advance, and by providing us with your accurate payment information, you agree to any and all payment terms.

In Person & Virtual Classes

  • Any payments are due immediately, including our additional COVID-19 PPE fee.
  • Make Up Policy

At this time we are unable to offer make-ups for any of our programming. No refunds for missed classes OR days missed will be given.

If the City of Philadelphia requires us to close, all classes will be rescheduled to take place virtually, until the session is over or we are able to resume in person.

  • Refund Policy

There are no refunds for cancellations. 

Private Lessons

  • Any payments are due immediately. 

Make Up Policy

All private lessons require a 24 hr notice of cancellation or you will be charged for that session. Rescheduling can be done through your instructor once this is approved by the family.

  • Refund Policy

If you cancel prior to all prepaid sessions being used no refund will be issued. For cancellation of a scheduled session.

MOVE at School Camp

A twenty-five percent (25%) advance deposit is due at enrollment for the entire session. The remaining balance will be paid in monthly installments. A card must be on file for auto pay to be run on the specified day. You can pay before the date with a check or card. There is a late fee of 5% if payment does not go through and/or is not received within 5 days of the due date. After 10 days you will not be allowed to attend until payment is received.

General Cancellation Policies

  • Refund Policy for Cancellations Due to COVID-19

If Philly InMovement must close down due to a suspected or actual exposure to COVID-19 (whether from staff, children, or persons to whom they have been exposed), any prepayments will be placed into your Philly InMovement account, and we will draw down on the account as needed.

  • Shutdown Orders

If the City of Philadelphia, Commonwealth of Pennsylvania, or Federal government so directs, Philly InMovement will be required to shut down its live operations until permitted to reopen. Philly InMovement will reschedule classes and sessions to take place virtually. All camps, private lessons, and open play sessions cannot take place virtually, and our policy is to place prepayments into your Philly InMovement account as though there were a COVID-19 exposure (see the section on “Refund Policy for Cancellations Due to COVID-19” above).

  • Inclement Weather

Weather cancellations are posted on the website and on Philly InMovement’s voicemail (267-239-0844). Weather-related cancellations are not refunded but we will make an effort to reschedule when possible.

  • Make Up Policy

Unfortunately, if a child misses a day or leaves early from camp those days are not refundable nor are we able to swap them. 

  • Refund Policy

Cancellations must be done with a 15 day notice via email to info@phillyinmovement.com If you do not comply with the 15 day notice there is a cancellation fee depending on your type of camp enrollment. 

$600 Cancellation Fee for the 5 Day Week Camp

$405 Cancellation Fee for the 3 Day Week Camp

$300 Cancellation Fee for the 2 Day Week Camp

Miscellaneous

  • Force Majeure

Philly InMovement is not responsible for any loss or damage as a result of program substitutions, alterations, or cancellations due to weather, natural disasters, acts of God, epidemics, unforeseen occurrences, or any other event that renders entering our studios and holding our programs impracticable, illegal or impossible. Philly InMovement is not able to refund students for cancelled classes, clinics, camps, events, parties, open plays or any other program due to unforeseen circumstances such as these. We will make all reasonable effort to replace it by arranging an alternative date(s) but this cannot be guaranteed. Contact our office for more information regarding rescheduling. 

  • Jurisdiction & Venue

If there is a dispute about anything in these Terms and Conditions, Pennsylvania law applies to the interpretation of these Terms, and the Courts in and pertaining to Philadelphia County, Pennsylvania shall have jurisdiction to decide any dispute.

  • Billing Disputes

If you dispute a charge through your financial institution this will constitute a breach of contract possibly resulting in, but not limited to, penalties, additional fees, collection, legal action, and/or termination of any and/or all current and future services. 

  • Supersede & Amend

These Terms and Conditions supersede and amend any prior versions of the Terms and Conditions, and govern any and all prior understandings otherwise in these Terms and Conditions.

  • Incorporation by Reference

These Terms and Conditions incorporate by reference our Payment Policy and Liability Waiver.

Billing Authorization

I represent and warrant that if I am purchasing something or paying for a service from Philly InMovement or from other merchants through Philly InMovement that (i) any credit card or bank account draft (ACH Draft) information I supply is true and complete, (ii) charges incurred by me will be honored by my credit card company or financial institution, and (iii) I will pay the charges incurred by me at the posted prices, including any applicable taxes, fees, and penalties.

I hereby authorize Philly InMovement to charge my ACH draft, or credit card account. I understand that a 15 day written notice is required for Camp to terminate billing or cancellation fees will incur.

I am responsible for payment whether or not my student attends classes and/or camp until I notify Philly InMovement in writing to drop my student.

Should I dispute a charge through my financial institution this will constitute a breach of contract possibly resulting in, but not limited to, penalties, additional fees, collection, legal action, and/or termination of any and/or all current and future services.
